Understanding Procurement Challenges in Dental Supply

In the fast-paced world of dental supply procurement, teams often find themselves caught in a whirlwind of tasks that prioritise speed over cost-effectiveness. This tendency can lead to suboptimal purchasing decisions, which may not only affect the bottom line but also the overall efficiency of dental practices.

The Pressure to Perform Quickly

One of the primary reasons teams may not focus on cost-effective purchasing is the pressure to complete tasks quickly. In many dental practices, the emphasis is placed on speed rather than thoroughness. This urgency can stem from various factors, including tight deadlines, high workloads, low staffing, and the need to respond rapidly to each day. As a result, team members may prioritise getting the job done over evaluating the best options available. This often leads to the over use of a single supplier.

The Cost of Speed

While completing tasks quickly can seem beneficial in the short term, it often leads to long-term consequences. Rushed decisions can result in higher costs, as teams may overlook better deals or fail to negotiate effectively with suppliers. Additionally, the lack of time spent on research and analysis can lead to missed opportunities for savings, ultimately impacting the practice’s financial health.

A Lack of Understanding of Procurement

Another significant barrier to making excellent procurement decisions in the dental field is the difficulty many professionals face in navigating the complexities of procurement systems. Many teams struggle with account-level pricing, which can vary significantly between account reps,  suppliers and products. This variability makes it challenging to identify the best deals and can lead to overspending if teams are not equipped to analyse pricing structures effectively.

The Impact of “It’s Not My Money”

A recurring piece of feedback from procurement teams is the sentiment: “It’s not my money.” This mindset can lead to a lack of accountability in spending decisions. Without a sense of ownership, team members may feel less motivated to pursue cost-saving measures. Practices need to address this by fostering a sense of shared responsibility among their teams.

Avoiding Challenging Conversations

Procurement often involves negotiations and discussions that can be uncomfortable. Team members may shy away from challenging conversations with suppliers or stakeholders, fearing conflict or pushback. This avoidance can lead to complacency in negotiations, resulting in missed opportunities for better pricing or terms.

The Role of Incentives

Interestingly, in our market research some teams may be incentivised by small freebies or perks offered by suppliers. While these incentives can be appealing, they may also cloud judgement and lead to decisions that are not in the organisation’s best interest. Teams may prioritise short-term gains or personal incentives over long-term value, ultimately compromising their procurement strategies.

The Pitfall of Solely Focusing on Cost

While cost is an essential aspect of procurement, focusing solely on price can lead to unintended consequences. Prioritising the cheapest option without considering quality or reliability may result in higher long-term costs due to low-quality supplies, increased waste, or frequent replacements. Additionally, placing too many small orders or relying on too many suppliers adds to the administrative burden, with excessive invoices, time ordering, and payments consuming valuable time. For example, we observed a two-chair practice, not even at full occupancy, place over 270 separate orders in a year, highlighting how fragmented purchasing can overwhelm teams, reduce negotiating power, and hinder efficiency. Streamlining suppliers and consolidating orders ensures cost-effectiveness without sacrificing quality or operational workflow.

Conclusion

In conclusion, the challenges faced by teams in dental supply procurement are multifaceted. By addressing the pressures to perform quickly, investing in procurement tools, encouraging open dialogue, tailoring approaches to local conditions, and focusing on value rather than incentives, dental practices can empower their teams to make better procurement choices.
